Privacy Policy

1. Who we are
Meeting Vault is a service operated by Built on Purpose, LLC ("we," "us," or "our"). We provide automated Zoom recording archival to Google Drive with AI-generated summaries and Slack notifications.
2. Information we collect
We collect information in the following ways:
- Contact form submissions. When you fill out our contact form, we collect your name, work email address, company name, team size, and any message you provide. This information is used solely to respond to your inquiry.
- Zoom integration data. When you use Meeting Vault, we access your Zoom recordings through the Zoom API to transfer them to your Google Drive. We process recording files, metadata (meeting title, date, participants), and AI-generated meeting summaries.
- Google Drive integration. We write files to your designated Google Drive folder(s). We do not read, modify, or delete any other files in your Google Drive.
- Slack integration. We send notifications to your configured Slack channel(s) when recordings are archived. We do not read messages or access other Slack data.
- Analytics. We use Fathom Analytics, a privacy-focused analytics tool that does not use cookies and does not collect personal data. Fathom tracks page views and form submission events in aggregate.
3. How we use your information
- To provide the Meeting Vault service — transferring recordings, generating summaries, and sending notifications
- To respond to your inquiries submitted through our contact form
- To improve our service based on aggregate, anonymized usage patterns
4. Data storage and security
We do not store your Zoom recordings. Recordings are transferred directly from Zoom to your Google Drive. Our system processes recordings in transit but does not retain copies after the transfer is complete.
All data in transit is encrypted using TLS 1.2 or higher. Access to third-party services (Zoom, Google Drive, Slack) is managed through OAuth 2.0 tokens with the minimum required scopes.
Contact form submissions are transmitted to our CRM system and retained only as long as necessary to manage the business relationship.
5. Third-party services
Meeting Vault integrates with the following third-party services, each governed by their own privacy policies:
- Zoom — for accessing and downloading meeting recordings
- Google Drive — for storing archived recordings and summaries
- Slack — for delivering archive notifications
- Fathom Analytics — for privacy-friendly website analytics
We do not sell, rent, or share your personal information with any other third parties.
6. Data retention
We retain contact form data for as long as necessary to maintain the business relationship. Integration credentials (OAuth tokens) are retained only while your account is active. When you cancel your service, we revoke all OAuth tokens and delete stored credentials within 30 days.
7. Your rights
You have the right to:
- Request access to the personal information we hold about you
- Request correction or deletion of your personal information
- Revoke integration access at any time through your Zoom, Google, or Slack account settings
- Opt out of any future communications from us
8. Cookies
This website does not use cookies. Our analytics provider, Fathom Analytics, is cookieless and compliant with GDPR, ePrivacy, PECR, CCPA, and COPPA.
9. Changes to this policy
We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated effective date. Continued use of Meeting Vault after changes are posted constitutes acceptance of the updated policy.
